The Facilities Coordinator will provide administrative support to the Facilities Manager and the Facilities team! We balance office functions including work order coordination, security badges, access assignments, database management, daily office operations and maintaining office records. Additionally, under the supervision of the Facilities Manager, will assist in leading outside contractors, including maintaining records, contracts, coordinating project activities, and providing scheduling support.

Responsibilities:

  • We are responsible for distribution and dispatching of incoming, outgoing and interdepartmental mail.
  • Ensure accurate usage and maintenance of all postage equipment, computerized mailing and tracking equipment for all mailing systems: U.S. Postal Service, UPS, and FedEx. The candidate has ultimate responsibility for the timely and accurate delivery and distribution of all critical documents and packages.
  • We maintain the Officespace directory and assist with office relocates and placements.
  • Leads all aspects of the third-party cleaning company, confirms building standards are met.
  • Oversee handling of company-wide calendar used for scheduling of meeting and conference rooms along with electronic facility requests
  • Lead the ESS system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration.
  • Assist the Facilities Manager in all aspects of project implementation as needed.
  • Support the Facilities Manager with external contacts as needed.
  • Process requisitions and check requests for the department.
  • Leads the companywide business partner record in SAP.
  • Ensures maintenance of the exterior property with vendors, with detailed attention to seasonal needs.
  • Builds and maintains effective channels of communication (e-mails, meetings, blueprints, cost quotes, changes, and completion date) with all parties concerned during major expansion and renovation projects.
  • Leads all aspects of the third-party cleaning company, ensures building standards are met and communicates any problems back to the cleaning crew.
  • Assist with managing company-wide calendar used for scheduling of meeting and conference rooms as well as keeps up with electronic facility requests.
  • Manage the ESS system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration
  • Assist the Facilities Manager in all aspects of project implementation as needed.
  • Communicates progress of current projects to Supervisor.
  • Creates and maintains effective channels of communication (e-mails, meetings, blueprints, cost quotes, changes, and completion date) with all parties concerned during major expansion and renovation projects.
  • Ensures all bids are organized, documented and secured for current and future reference.
  • Maintains a close working relationship with Company Indirect Buyer to ensure all Vendor contracts and rates are per Company Procedure and Policy.
  • Ensures all invoicing is received, logged and processed for payment.
  • Reacts timely and effectively to after hour’s facility and safety-related emergencies.

Education & Experience:

  • You will need to possess a high school diploma and must be able to meet the physical demands of the job which includes lifting heavy items such as tables, equipment, etc.
  • Must possess above average communication, customer service, and negotiation skills. Computer skills (Word, Excel) along with having technical knowledge to maintain/support technical equipment. SAP experience a plus.
  • Demonstrated ability to work and communicate effectively, verbally, and in written form with internal and external customers.
  • Strong interpersonal skills and the ability to thrive in a team environment. Strong organization skills in running multiple projects simultaneously. Recognize and act on opportunities; adjust direction when situation warrants.
