Events Marketing SpecialistThe Events Marketing Specialist is an entry level position who will be responsible for supporting the Trade Show & Event Manager with planning, coordinating, and implementing some trade show activities, customer visits and customer events along with other responsibilities as specified.Primary Job Responsibilities:
  • Works under the supervision of the Trade Show & Event Manager
  • Assists and contributes in the planning of projects, trade shows, customer visits and events related to assigned areas of responsibility
  • Schedules project/event activities such as:meetings, coordinating calendars, scheduling conference space, etc.
  • Maintains project/event planning forms and all customer files
  • Provides webinar support such as:coordinating internet needs with IT, securing computer needs, setting up webinar platform (ex: GoToMeeting); installing required files, etc.
  • Assists with invoice processing and credit card reconciliation for all projects/shows/events
  • Assists with the creation and printing of name badges, tent cards, thank you notes, etc.
  • Orders and maintains all branded items, event supplies, customer gifts, show give aways, etc.
  • Coordinates shipping of any event supplies, give aways, literature, etc. to off-site locations
  • Assists with all event set-up, tear-down and other event specifics as needed
  • Assists in event wrap-up to include ensuring all NDA’s have been signed, surveys have been completed and submitted, budget reconciliation has been completed
  • Some local travel and flexible hours may be required
Qualifications & Skills:
  • Possesses strong administrative skills
  • Provides a high level of customer service
  • Communicates effectively across various departments and management
  • Ability to exercise good judgement and maintain confidentiality regarding critical or sensitive information
  • Effective problem solving and ability to maintain proper decorum when faced with difficult situations, disruptions in plans or challenging individuals
  • Possesses solid understanding of project management
  • Ability to work well with various teams
  • Well organized and detail-oriented a must
  • Ability to manage multiple priorities to ensure that deadlines are met
  • Ability to be somewhat flexible with hours – some early mornings, or later evenings are possible
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint a plus
  • Experience with CVENT or comparable system a plus
