The Service Administrative Assistant is responsible for the scheduling/distribution/invoicing of material needed for service visits and the corresponding paperwork. The Service Administrative Assistant position is the liaison between Milgard’s Service department (technicians/expeditors), the warehouse, operations, and the customer. They are responsible to ensure (internal/external) customers are notified of any shipping issues regarding delivery of their windows and to reschedule visits whenever possible. Once an order/visit is compete they will be handling the invoicing and final disposition of that material.

KEY DUTIES & RESPONSIBILITIES:

  • Provide quality customer service and customer care.

  • Process and review service requests in a timely fashion.

  • Communicate professionally with Milgard external customers and internal customers regarding product and business issues.

  • Support the customer service process by working extensively with CSR’s, technicians, expeditors, and management to ensure availability of material ordered.

  • Responsible for the scheduling, distribution, and invoicing of all service orders.

  • Create and execute MPS objectives, meeting MPS commitments and working within the guidelines of MPS; reflects Milgard business values and the Milgard philosophy in all business interactions.

  • Incorporates Milgard’s vision and values into day-to-day activities and behaviors; guides and motivates others to remain committed to the Milgard philosophy.

  • Adheres to all facets of safety policies and procedures.

    EXPERIENCE REQUIRED:

  • Minimum of one (1) to two (2) years’ experience in customer service utilizing an enterprise system, preferably in a manufacturing environment.

  • Previous window sales and/or customer service preferred

    EDUCATION/LICENSES/CERTIFICATION/FORMAL TRAINING:

  • High School diploma or GED

  • Some college preferred

    ESSENTIAL ABILITIES:

  • Read, write and understand the English language

  • Work independently, at times under pressure

  • Sense of urgency; meeting of deadlines

  • Excellent customer service skills

  • Computer literacy and ability to learn new computer software programs

  • Excellent written and oral communication skills; strong organizational skills and attention to detail

    PHYSICAL REQUIREMENTS:

  • Prolonged sitting and excess data entry and typing

  • Hand dexterity and strength.

  • Minimal lifting of office equipment and supplies

  • Ability to lift up to 30 lbs. frequently

  • Overtime may be required

    WORK ENVIRONMENT:

  • Work performed indoors in a climate controlled environment
